Terms and Conditions
1. Bookings and Room Rentals
Confirmation: A booking for a meeting room, coworking space, or workshop is only officially confirmed once you receive a confirmation email from Studio 10 Utrecht.
Payment: Payments must be made via the payment methods indicated during the booking process or via invoice within the agreed payment term stated on the invoice.
Accuracy of Information: You are responsible for providing correct contact, billing, and booking details (including correct dates, times, and participant numbers).
2. Coworking Memberships and Subscriptions
Initial Term: All coworking or studio memberships are entered into for an initial fixed period of 3 months. During this initial 3-month period, the membership cannot be terminated prematurely.
Automatic Renewal: Upon the expiration of the initial 3-month period, the membership will automatically convert into an ongoing, open-ended agreement on a month-to-month basis.
Notice Period: After the initial period, members may cancel their subscription at any time with a notice period of 1 calendar month.
How to Cancel: Because memberships can be purchased online, cancellations can be easily submitted digitally by sending an email to studio10utrecht@outlook.com.
3. Additional On-Site Usage and Extras
Incidental Charges: Any additional services, items, or equipment used during your visit that were not included in the original booking (such as extra meeting hours, additional catering, print services, or extra beverages) will be tracked and billed separately.
Payment of Extras: Invoiced additional charges or on-site pay-as-you-go items must be paid immediately upon receipt of the invoice or via the requested on-site payment method.
4. Catering and Food Packages
Allergies and Dietary Requirements: If you order food or catering packages, you must communicate any dietary requirements, food allergies, or special requests at least 48 hours in advance.
Changes: Last-minute changes to catering numbers or dietary needs depend on availability and may incur additional charges.
5. Cancellations and Refunds
Client Room/Workshop Cancellations:
Cancellations made more than 7 days before the scheduled booking date are eligible for a full refund or free rescheduling.
Cancellations made between 48 hours and 7 days before the booking will incur a 50% cancellation fee.
Cancellations made less than 48 hours in advance, or no-shows, are non-refundable.
Cancellations by Studio 10 Utrecht: In the unlikely event that we need to cancel your booking due to unforeseen circumstances, we will notify you as soon as possible and offer a full refund or an alternative date.
6. House Rules, Respect for Other Guests, and Liability
Respectful Environment: Studio 10 Utrecht is a shared workspace and community environment. All visitors, members, and guests must behave respectfully toward staff, other guests, and property. Harassment, disruptive noise, or any behavior that negatively impacts other users' ability to work or hold meetings is strictly prohibited.
Liability for Damages: The person or organization making the booking or holding the membership is legally and financially responsible for any damage caused to the studio, its equipment, or its property by them or their guests.
Cleaning and Tidying: Rooms and shared coworking spaces should be left in a neat and orderly state after use.
Smoking and Alcohol: Smoking is strictly prohibited inside the building. Alcohol consumption is only permitted for specific events or designated times with prior approval from Studio 10 Utrecht.
Right to Refuse/Terminate: Studio 10 Utrecht reserves the right to deny entry or revoke membership/bookings immediately without refund if a guest violates these house rules or acts disrespectfully toward others.
7. Liability and Disclaimer
Personal Belongings: Studio 10 Utrecht is not liable for any loss, theft, or damage to personal belongings brought onto the premises by visitors, guests, or participants.
Limitation of Liability: Our total liability for any claim arising out of or relating to our services is strictly limited to the total amount paid by you for the specific booking or membership month in question.
8. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of the Netherlands. Any disputes arising in connection with these terms shall be submitted to the competent court in the jurisdiction of Utrecht.
